GENERAL

Paxton Charities Accounting provides you with Charity Commission specific reports applicable to your accounting methodology as well as audit, transaction and management reports for your day-to-day usage. Reports can be printed, previewed on the screen or exported to spreadsheets and other formats. Regularly used report selections can be stored within the report catalogue for quick retrieval and re-use.

The package comes with a printed step-by-step starter guide, overview of the package and procedures guide as well as fully integrated on screen HELP. Included in the HELP are a number of items well worth looking through before you start to use the package. There are ‘Driving Instructions’ which includes an active demonstration and perhaps most valuably in the ‘Tutorial’ section are the hands-on examples that use the demonstration data that comes with the package. All the HELP facilities reflect the accounting methodology of the database you are running. Also in the HELP are the ‘Quick Reference Guide’ that includes many active examples of programs and the ‘User Guide’ that displays a full description of every program.

Setting up your own database and transferring your existing fund balances is made very straightforward by following the ‘Setting Up Your Database’ procedures provided to you on paper as well as on screen. Note that moving across to Paxton can be achieved at any time (preferably at any month end). When running Paxton Charities Accounting, the HELP facility is instantly available by clicking on the question mark icon at the top right of each screen.

The Paxton Charities Accounting screen can be re-sized as required. The data entry areas and font sizes increase in size as the display area is expanded and vice versa. Users can thus establish a display area and font sizing with which they are comfortable. Your chosen size will be remembered for next time you use the program. The colour scheme can also be amended at individual user level if the user desires.

Access controls for Paxton Charities Accounting can go far beyond the entry of a user code and passcode for initial database entry. A single home-based user does not need to configure anything to simply enjoy access to the whole package, although they may wish to change their passcode from the default supplied. Potential exists to allow other people access to the accounts data without the risk that they input something erroneously or stray into confidential areas. You can have as many user codes configured as you wish. A multi-user licence is required where simultaneous access to a database by more than one user is required.

Each user can have their access restricted only to certain programs. The different programs can be placed in up to 10 different zones and then users restricted to particular zones or their functionality in each zone restricted to, for example, read only. Particular menu options can also be individually passcode protected. Also, each user can be given their own 'Favourites' menu containing selections only those programs that they have access to. Restrictions can also be placed to prevent a user seeing the donor names in donation bookings and to limit users to their own data on day book reports. A closed month can be signed off and thereby password protected from being re-opened after audit checks have been completed.
